Privacy notice
This notice explains what happens to the details you send us through the request forms on this site, and what you can ask us to do with them.
Who is responsible for your data
The data controller is [legal entity name], trading as StudyGuard, [registered address]. For anything in this notice, write to our inbox.
What we collect
When you send a request or an Oxbridge enquiry, we receive:
- your name and surname;
- your phone number;
- your country of residence;
- for Oxbridge enquiries, the target university and the course or subject;
- anything you write in the comment field;
- the date and time of the request and the page it was sent from.
Please do not send health information, documents or anything else sensitive through the form. If we need more from you, we will agree how to share it safely.
Why we use it, and on what basis
- To answer your request — we contact you about mentorship or interview preparation. Basis: your consent, given by ticking the box on the form.
- To agree and provide a mentorship plan, if you decide to work with us. Basis: performance of a contract with you.
- To keep records we are required to keep, for example accounting records. Basis: legal obligation.
Who else sees it
- The mentor and the operations manager assigned to you, and no one else in the team.
- [Form and email provider], which delivers the message from the form to our inbox.
- Google Analytics, but only if you accepted the cookie notice, and only for anonymous usage statistics — never the contents of a form.
We do not sell your details and we do not pass them to anyone for advertising.
How long we keep it
Enquiries that do not lead to mentorship are deleted after [12 months]. If we work together, we keep the file for [the duration of the plan plus 12 months], and accounting records for as long as the law requires.
Where it is stored
Your details are stored in the UK and the EU. If a provider we use processes data outside that area, we rely on the safeguards required by UK and EU data protection law.
Cookies and analytics
The site sets no analytics cookie until you press Accept in the notice at the bottom of the page. If you press Decline, or ignore it, no analytics script is loaded at all. You can change your mind by clearing this site's data in your browser and answering again.
Your rights
You can ask us at any time to:
- give you a copy of what we hold about you;
- correct anything that is wrong;
- delete your details;
- restrict or object to how we use them;
- withdraw your consent — this does not affect anything done before you withdrew it.
We answer within one month. If you are not satisfied, you can complain to the Information Commissioner's Office in the UK (ico.org.uk) or to the data protection authority in your own country.
Children
We work with students aged 18 to 25. If you are under 18, ask a parent or guardian to send the request.
Changes
If this notice changes, the new version appears on this page with a new date below.
